Client Onboarding Workflow System

A structured onboarding workflow designed to make new client setup clearer, more trackable, and easier to manage from signed contract through kickoff.

A clearer way to manage client onboarding

This client onboarding workflow system was designed to bring more structure to the onboarding process, from client records and kickoff timelines to internal tasks, progress tracking, and follow-through behind the scenes.

Built in Monday.com, the system centralized key onboarding information in one place so the team could more easily track what had been completed, what still needed attention, and what needed to happen next.

The Challenge

New client onboarding was being managed across emails, notes, and manual follow-up, which made it harder to track progress, keep setup steps consistent, and maintain visibility into what needed attention next.

As onboarding moved through multiple stages, key details were easier to lose track of, follow-through relied too heavily on memory, and the team had no clear central view of where each client stood in the process.

ONBOARDING DASHBOARD

A high-level dashboard created to give the team quick visibility into onboarding activity, progress, and upcoming priorities.

What Was Built

TASK MANAGEMENT BOARD

A structured board for managing setup tasks, internal follow-through, and onboarding responsibilities.

STAGE-BASED PROGRESS TRACKING

Progress tracking across each onboarding stage to make it easier to see what was moving, what was complete, and what still needed attention.

CLIENT ONBOARDING TRACKER

A centralized tracker for client records, onboarding stages, kickoff timelines, and related information.

CUSTOM VIEWS

Views for upcoming kickoffs, overdue work, and other time-sensitive onboarding activity.

CLIENT RECORDS

Client records containing key onboarding details, service tier information, and linked assets in one place.

PLATFORM

Built in Monday.com as a centralized onboarding workspace with dashboards, task tracking, client records, and progress views.

Note: All client data and personal identifying information has been anonymized.
